Jiutopia Refund & Cancellation Policy

1. Scope

This Refund & Cancellation Policy applies to all Jiutopia camps, retreats, seminars, workshops, and experiences unless expressly stated otherwise on the relevant event page.

By completing a booking, participants confirm that they have read, understood, and accepted this policy.

2. Booking Confirmation

A booking is confirmed only once the required payment has been successfully received.

3. Deposits

All deposits are strictly non-refundable.

Deposits secure the participant’s place and cover administration, planning, accommodation reservations, instructor commitments, and other operational costs.

4. Full Payment Bookings

Participants who pay the full ticket price at the time of booking may request a full refund only if the cancellation request is submitted in writing within one (1) month of the original booking date.

However, bookings made within sixty (60) days of the scheduled start date of the event are final and non-refundable from the time of purchase.

For the avoidance of doubt:

If a participant books more than sixty (60) days before the event, they may request a full refund only within one (1) month of their booking date.
If a participant books within sixty (60) days of the event, no monetary refund is available from the time of purchase.
After the one (1) month refund period has expired, no monetary refund will be issued.

5. Ticket Transfers & Resale

Participants who are unable to attend may transfer or resell their booking to another participant up to seven (7) days before the scheduled start date of the event.

A €50 administration fee applies to all ticket transfers.

The original participant is responsible for arranging the transfer or resale.

All transfers must be approved by Jiutopia before becoming valid.

6. Credit Vouchers

Participants who are unable to attend due to exceptional circumstances may request a credit voucher.

Credit vouchers are issued solely at Jiutopia’s discretion and are not guaranteed. Jiutopia may request supporting documentation where appropriate.

If approved, the voucher:

is valid for twelve (12) months from the date of issue;
may be used towards any future Jiutopia event;
is transferable; and
cannot be redeemed for cash.

7. Organizer Cancellation

If Jiutopia cancels an event, participants may choose between:

a credit voucher for the full amount paid, redeemable towards any future Jiutopia event.

8. Event Postponement

If an event is postponed, all bookings will automatically remain valid for the rescheduled dates.

Participants who are unable to attend the new dates may request a credit voucher valid for twelve (12) months.

No cash refunds will be issued in the event of postponement unless required by applicable law.

9. Accommodation & Operational Changes

Jiutopia reserves the right to make reasonable adjustments to accommodation, room allocations, instructors, schedules, training timetables, venues, activities, or other operational aspects of the event where necessary.

Such adjustments do not constitute grounds for cancellation or refund, provided the event takes place.

Where shared accommodation is included, room assignments and bed types are allocated according to operational requirements and availability. Specific room, tent, mobile home, or bed requests cannot be guaranteed.

10. Force Majeure

Jiutopia shall not be liable for cancellations, delays, changes, or interruptions caused by circumstances beyond its reasonable control, including but not limited to natural disasters, severe weather, pandemics, government restrictions, war, civil unrest, strikes, transportation disruptions, or other force majeure events.

Where appropriate, Jiutopia may offer rescheduling or a credit voucher at its sole discretion.

11. Travel Insurance

Participants are strongly encouraged to obtain comprehensive travel insurance covering cancellation, illness, injury, travel disruption, lost baggage, and other unforeseen circumstances.

Jiutopia is not responsible for losses arising from a participant’s failure to obtain appropriate insurance.
